Chairperson Resources

This page is intended to help guide you as a Chairperson of a Roy Elementary PTA Event.

As the Chairperson, you are responsible for:

  1. Overseeing the Event and all its volunteers.

  2. Scheduling all volunteers for the Event and cleanup.

  3. Completing an Event Planning Worksheet for submission to the Boardy before the Event date.

  4. Completing a Request for Event Cash Drawer Starting Money for submission to the Treasurer 1 week before the Event date.   Making sure change for the cash drawer is available at the Event (if necessary).

  5. Providing a copy of the final volunteer schedule to the President by the day of the Event.

  6. Coordinating building usage with Sue and filling out a Building Usage Form with her (if using Roy Elem. building).  This needs to be done right away, as the area might not be available for use that you are planning on.

  7. Arranging for TWO people to verify all money received from the Event and supplying the Event Cash Verification Form to them on the day of the Event.

  8. Tracking Event expenses to keep within allotted Event budget.

  9. Verifying that volunteers submit all receipts for Event expenses.

  10. Completing an Event Committee Report for submission to the Secretary within I week of the end of the  Event.
